Terms and conditions

1. Acceptance of These Terms

These Terms and Conditions govern registration for and attendance at OtoMadina, EndoMadina and RhinoMadina, an ENT (Ear, Nose & Throat / Otolaryngology – Head & Neck Surgery) hands-on cadaveric dissection course to be held on 11th-12th/ Otomadina, 18th – 19th EndoMadina, 28th RhinoMadina December 2026 at PMBAH, Madina, Kingdom of Saudi Arabia, organized by Executor events.

By ticking the “I Agree” box, submitting the online registration form, or otherwise completing registration and/or making payment, the individual registering (“you”, the “Delegate”, or the “Attendee”) confirms that they have read, understood, and irrevocably agree to be bound by these Terms, our Privacy Notice, and the Code of Conduct set out below. If you do not agree to these Terms, you must not complete registration.

These Terms apply to every category of registrant, including physicians, residents, fellows, allied health professionals, faculty, exhibitors, and any other individual registering through the Course website.

2. Eligibility to Register and Attend

Because this Course includes hands-on cadaveric dissection, attendance is restricted as follows:

  • Registration for the full Course (including the wet-lab / cadaveric dissection sessions) is open only to licensed physicians, otolaryngology (ENT) specialists and consultants, and ENT residents or fellows enrolled in a recognized surgical training program.
  • At the time of registration, you must upload a valid, current medical license, professional registration, or training-program enrollment confirmation. The Organizer reserves the right to verify credentials, to decline or cancel a registration where eligibility cannot be confirmed, and to refuse entry to the dissection laboratory to anyone who cannot produce valid identification and credentials on-site.
  • Observers, industry/company representatives, guests, companions, and media are not permitted inside the cadaveric dissection laboratory at any time, regardless of registration category, and may attend only the didactic lecture sessions where separately invited by the Organizer.
  • Attendees must be at least 18 years of age and legally permitted to travel to and work/train within the Kingdom of Saudi Arabia.

3. Registration Process and Confirmation

  • Registration is completed by submitting the online form on the Course website together with the required supporting documents and payment (or valid payment undertaking).
  • A registration is provisional until the Organizer issues a written confirmation (by email) and, where applicable, payment has been received in full. Seats for the hands-on dissection component are limited and are allocated on a confirmed-payment, first-come, first-served basis.
  • You are responsible for the accuracy of the information you submit (name, professional title, contact details, dietary/medical disclosures) and must promptly notify the Organizer in writing of any changes.
  • The Organizer reserves the right, acting reasonably, to decline any registration (including after payment, with a full refund) where capacity, eligibility, safety, or regulatory requirements so require.

4. Registration Fees — What Is and Is Not Included

Registration Fee:  as displayed on the Course website at the time of registration, inclusive/exclusive of applicable VAT as stated at checkout.

4.1 Included in the Registration Fee

Your registration fee for the applicable category covers only the following, as designed and scheduled by the independent Scientific Committee:

  • Access to the full scientific lecture program, as designed by the Scientific Committee, on the dates of the Course.
  • Access to the hands-on cadaveric dissection laboratory sessions (for eligible, confirmed Delegates only — see Section 2), under faculty supervision, including use of shared instruments and specimens allocated for the Course.
  • Coffee/tea breaks scheduled between lecture and laboratory sessions on each Course day.
  • Lunch on each official Course day.
  • Course materials, certificate of attendance, and (where applicable) accredited CME/CPD certification — see Section 5.

4.2 Not Included

Consistent with MECOMED / Conference Vetting System (CVS) hospitality standards (see Section 7), the following are not included in the Registration Fee and, where offered at all, are the Delegate’s own responsibility and expense:

  • International or domestic travel, visa costs, airport transfers, and personal travel insurance.
  • Hotel accommodation, unless a room-inclusive package is explicitly advertised and separately itemized on the Course website.
  • Any spouse, family member, guest, or companion program, meals, or activities.
  • Any optional social, leisure, sporting, or entertainment activity, which (if offered at all) will be clearly identified as optional, priced separately at fair market value, and payable directly by the Delegate.
  • Personal expenses, additional meals outside the official program, and gratuities.

5. Scientific Program and Accreditation

  • The full scientific and hands-on program is independently designed, curated, and controlled by the Course Scientific Committee on the basis of educational merit and relevance to ENT practice. No commercial sponsor has the right to determine program content, faculty selection, or session scheduling.
  • The Course has been submitted for continuing medical education (CME/CPD) credit by the Saudi Commission for Health Specialties (SCFHS)]. Accreditation status, and the final number of credit hours, will be confirmed on the Course website and is subject to the accrediting body’s approval.
  • The Organizer reserves the right to make reasonable changes to speakers, topics, session order, or the detailed timetable where necessary, provided the overall scientific integrity and duration of the program is maintained. Material changes will be posted on the Course website.
  • All faculty are required to disclose any relevant conflicts of interest (including relationships with medical technology or pharmaceutical companies) at the start of their presentation, in line with MECOMED Code requirements.

6. Payment Terms

  • Payment is due in full at the time of registration unless an alternative payment schedule is expressly agreed with the Organizer in writing (e.g., for institutionally-sponsored group bookings).
  • Accepted payment methods, currency, and any bank transfer details are set out on the Course website payment page. Bank charges and currency conversion costs are the Delegate’s responsibility.
  • A place in the Course, and in particular in the hands-on dissection laboratory (which has strictly limited capacity), is confirmed only upon receipt of cleared payment.
  • Where a third party (e.g., a hospital, employer, or a MECOMED member company via an approved educational grant) is paying on a Delegate’s behalf, the Delegate remains responsible for ensuring payment is received by the applicable deadline.

7. Cancellation, Refunds, and Transfers

7.1 Cancellation by the Delegate

Because cadaveric specimens, laboratory stations, and catering are ordered in advance based on confirmed numbers, refunds are tiered by notice period. All cancellation requests must be made in writing to [Contact Email]. The date of receipt by the Organizer determines the applicable tier:

  • 45 calendar days or more before the first day of the Course: full refund of the Registration Fee, less a 10% administrative fee.
  • Between 30 and 44 calendar days before the first day of the Course: 50% refund of the Registration Fee.
  • Fewer than 30 calendar days before the first day of the Course, or non-attendance (“no-show”) without prior written cancellation: no refund.
  • At any time up to 7 calendar days before the Course, a Delegate may instead request a one-time, fee-free transfer of their registration to another individual who meets the Eligibility Criteria in Section 2, or a credit note valid toward a future course organized by the Organizer, at the Organizer’s discretion.

7.2 Changes, Postponement, or Cancellation by the Organizer

  • The Organizer will make reasonable efforts to deliver the Course as advertised, but reserves the right to postpone, reschedule, relocate, or cancel the Course (in whole or in part, including the hands-on dissection component specifically, for example where cadaveric specimens or laboratory facilities become unavailable) due to circumstances beyond its reasonable control, including regulatory, health-authority, or Force Majeure events (Section 15), or insufficient registration numbers.
  • If the Organizer cancels the Course entirely, Delegates will receive a full refund of the Registration Fee. The Organizer is not responsible for any other costs or losses incurred by the Delegate (including but not limited to travel, visa, or accommodation costs) arising from a postponement, relocation, or cancellation of the Course.
  • If the Course is postponed or rescheduled, registrations will automatically carry over to the new date unless the Delegate notifies the Organizer in writing within 14 days of the rescheduling notice that they wish to cancel, in which case Section 7.1 applies calculated from the original cancellation request date.

8. Code of Conduct

All Delegates, faculty, staff, and exhibitors are expected to behave professionally and with mutual respect at all times, both during scientific sessions and in the dissection laboratory. The Organizer has zero tolerance for harassment, discrimination, or disruptive behavior of any kind. The Organizer may, at its sole discretion and without refund, remove any individual from the Course (including revoking laboratory access) for conduct that breaches this Code, compromises safety, or breaches applicable law or the specific cadaveric-laboratory rules in Section 9.

9. Hands-On Cadaveric Dissection — Specific Terms

Participation in the hands-on cadaveric dissection sessions is a privilege subject to strict additional terms, given the sensitive nature of working with human anatomical material:

9.1 Regulatory Compliance and Supervision

  • Cadaveric specimens are supplied and used strictly in accordance with the applicable laws and regulations of the Kingdom of Saudi Arabia and the internal governance of [Host Institution]’s anatomy/wet-laboratory facility, under whose licence and supervision the laboratory sessions are conducted.
  • All dissection activity takes place under the direct, continuous supervision of qualified faculty and instructors appointed by the Scientific Committee, following a structured, pre-approved hands-on curriculum.

9.2 Respect and Dignity

  • Delegates must treat all cadaveric and prosected material, and the laboratory environment generally, with the utmost professionalism, respect, and dignity at all times, consistent with applicable ethical, religious, and cultural norms in the Kingdom of Saudi Arabia.
  • Photography, video recording, live-streaming, or any other capture or transmission of images of cadaveric material, in whole or in part, is strictly prohibited unless expressly pre-authorized in writing by the Organizer and [Host Institution], and then only for approved educational or scientific purposes. Breach of this rule may result in immediate removal from the Course without refund and further action as appropriate.

9.3 Health, Safety, and Fitness to Participate

  • Delegates will be briefed on, and must at all times comply with, the laboratory’s health and safety protocols, including use of required personal protective equipment (PPE), infection-control procedures, and biohazard/sharps waste handling.
  • By registering for the hands-on component, you confirm that you are not aware of any medical condition (including but not limited to open wounds, immunocompromised status, pregnancy, or known sensitivity/allergy to embalming or preservation chemicals such as formaldehyde) that would make participation unsafe, and you agree to disclose any such condition to the Organizer in writing prior to the Course so that appropriate arrangements or exclusions can be considered.

9.4 Assumption of Risk, Waiver, and Indemnity

  • Participation in the hands-on cadaveric dissection sessions is voluntary and undertaken at the Delegate’s own risk. By registering, the Delegate acknowledges the inherent risks of wet-laboratory and cadaveric dissection work (including, without limitation, exposure to preservation/embalming chemicals, use of sharp surgical instruments, and contact with biological material) and, to the fullest extent permitted by applicable law, releases and holds harmless the Organizer, [Host Institution], the Scientific Committee, and all faculty, instructors, and staff from and against any claim, loss, injury, or damage arising out of or in connection with such participation, save to the extent directly caused by the gross negligence or wilful misconduct of the Organizer or [Host Institution].
  • Nothing in this Section 9 excludes or limits liability for death or personal injury caused by proven negligence, or any other liability that cannot lawfully be excluded or limited under the laws of the Kingdom of Saudi Arabia.

10. Industry Support, Sponsorship, and MECOMED / CVS Compliance

The Course may receive financial and/or in-kind support (educational grants, exhibition space, or satellite activities) from medical technology and/or pharmaceutical companies that are members of MECOMED (the Middle East association representing medical technology companies) or equivalent industry bodies. The Organizer is committed to running the Course consistently with the MECOMED Code of Ethical Business Practice and, where such support is provided, to obtaining a positive assessment from MECOMED’s independent Conference Vetting System (CVS) before accepting industry funding. In furtherance of that commitment:

  • Scientific independence: the scientific and educational content, faculty, and agenda of the Course are determined solely by the Scientific Committee on educational merit; no commercial supporter may influence program content or speaker selection.
  • Venue and hospitality: the Course venue is a bona fide business, clinical, or academic conference facility and is not, and will not be presented as, a resort, spa, leisure, or entertainment destination. Hospitality funded through the Registration Fee or by any industry supporter is limited to modest and incidental items — the scientific program, coffee/tea breaks, and lunch described in Section 4 — and does not extend to spouses, family members, or companions, luxury accommodation, gifts, or entertainment.
  • Separation of commercial activity: any exhibition space, sponsor acknowledgment, or satellite/industry symposium associated with the Course is clearly identified as such, does not interrupt or overlap with scientific sessions, and is presented separately from independent scientific content.
  • Transparency: where industry educational grants support the Course, they are documented in written agreements and disclosed by supporting companies in accordance with the MECOMED Disclosure Guidelines; no cash payments or per-diems are made to individual Delegates in connection with their attendance.
  • Registration fee integrity: the Registration Fee, and any grant funding received, is applied only to the scientific program and the modest hospitality described in Section 4; any optional social or leisure element is funded separately, directly by participating Delegates, at fair market value.

11. Photography, Recording, and Media (Lecture Sessions)

Separately from the specific cadaveric-material restrictions in Section 9.2, the Organizer or its appointed photographer/videographer may take general photographs or video recordings during lecture sessions, breaks, and networking for post-event reporting, accreditation records, and promotional/marketing purposes (including on the Course website and social media). By attending, Delegates consent to such use unless they notify the Organizer in writing before the Course that they wish to opt out of being individually photographed or filmed. Delegates may not record or photograph lecture sessions themselves without the presenting faculty member’s prior consent, in order to protect unpublished data and intellectual property.

12. Intellectual Property

All course materials, presentations, handouts, videos, and the Course website content are the intellectual property of the Organizer, [Host Institution], and/or the relevant presenting faculty, and are provided for the personal educational use of registered Delegates only. No part of the course materials may be reproduced, distributed, or used commercially without prior written permission from the rights holder.

13. Health, Fitness to Travel, and Insurance

  • Delegates are responsible for ensuring they are medically fit to travel to and participate in the Course, including the physical demands of the hands-on laboratory sessions, and for arranging their own travel, health, and personal liability insurance for the duration of their trip.
  • The Organizer strongly recommends that international Delegates obtain comprehensive travel insurance, including medical evacuation cover, before travelling to the Kingdom of Saudi Arabia.
  • Delegates must comply with all applicable Saudi Ministry of Health and venue health and safety requirements in force at the time of the Course.

14. Data Protection and Privacy

  • The Organizer processes personal data submitted during registration (including professional credentials, contact details, and, where relevant, health-related disclosures under Section 9.3) in accordance with the Kingdom of Saudi Arabia’s Personal Data Protection Law (PDPL) and its Implementing Regulations, as administered by the Saudi Data & Artificial Intelligence Authority (SDAIA).
  • Data is collected and used only for purposes connected with organizing and administering the Course (registration, eligibility verification, safety, accreditation records, and, where consented to, marketing about future courses), and is not sold to third parties. Any data shared with an accrediting body, CME platform, or supporting company for CVS/disclosure compliance purposes is limited to what is necessary for that purpose.
  • Health-related disclosures made under Section 9.3 are treated as sensitive data, used solely to assess fitness to participate safely in the laboratory sessions, and are accessible only to personnel who need them for that purpose.
  • Delegates have the right, subject to applicable law, to request access to, correction of, or deletion of their personal data by contacting [Data Protection / Privacy Contact Email]. Full details are set out in the Course’s separate Privacy Notice, available at [Privacy Notice URL].

15. Force Majeure

Neither party will be liable for any failure or delay in performance under these Terms to the extent caused by circumstances beyond its reasonable control, including but not limited to acts of God, war, civil unrest, epidemic or pandemic, government or health-authority action or restriction, fire, flood, strikes, or failure of third-party venues or suppliers (“Force Majeure Event”). Where a Force Majeure Event prevents the Course from proceeding, Section 7.2 governs the resulting rights of Delegates.

16. Limitation of Liability

  • To the fullest extent permitted by the laws of the Kingdom of Saudi Arabia, and subject always to Section 9.4, the Organizer’s aggregate liability to any Delegate arising out of or in connection with the Course and these Terms is limited to the Registration Fee paid by that Delegate.
  • The Organizer is not liable for indirect or consequential loss, including loss of income, loss of opportunity, or travel and accommodation costs incurred by a Delegate, arising from any change, postponement, relocation, or cancellation of the Course.
  • Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by proven negligence, or fraud.

17. Travel and Visa Requirements

Delegates are solely responsible for obtaining any visa, entry permit, or other travel documentation required to attend the Course in the Kingdom of Saudi Arabia, and for the associated costs. The Organizer can, on request, provide a standard invitation letter confirming registration, but is not responsible for visa refusal, delay, or any resulting inability to attend, and Section 7.1 (Delegate cancellation) will apply in such circumstances unless the Organizer agrees otherwise in writing.

18. General

  • Amendments: The Organizer may update these Terms from time to time to reflect changes in the Course, applicable law, or MECOMED/CVS requirements. The version in force at the time of your registration, as published on the Course website, applies to you; material changes affecting confirmed Delegates will be communicated by email.
  • Entire agreement: These Terms, together with the Course Privacy Notice and any written confirmation issued by the Organizer, constitute the entire agreement between the Delegate and the Organizer regarding the Course.
  • Severability: If any provision of these Terms is held invalid or unenforceable, the remaining provisions continue in full force and effect.
  • Assignment: Delegates may not transfer or assign their registration except as expressly permitted under Section 7.1.

19. Governing Law and Dispute Resolution

These Terms are governed by, and construed in accordance with, the laws of the Kingdom of Saudi Arabia. Any dispute arising out of or in connection with these Terms or the Course that cannot be resolved amicably will be subject to the exclusive jurisdiction of the competent courts of Madina, Kingdom of Saudi Arabia, save that the Organizer may seek injunctive or equivalent relief in any competent jurisdiction where necessary to protect its rights.
